Meetings are nobody’s favourite part of the workday. How many times have you heard someone fresh into work for the morning exclaim “wow I’ve got 5 meetings today, brilliant?” Probably never. But meetings don’t have to be a monumental drag.
Indeed, meetings can be mentally engaging and necessary building blocks towards a more consistent and cohesive company. Digital signage can help to eradicate irrelevant meetings by revealing exactly who is due at the meeting, what time it’s going to start and finish and what’s on the agenda.
But how could you be properly utilising digital signage to ensure your meetings are always productive and never a complete drain on your employees?
Get the hardware right
Lacklustre hardware will always lead to lacklustre results. How are you supposed to get through a meeting if attendees can barely understand what’s being shown to them? And what if an outdated screen refuses to refresh and dozens of people miss an important meeting as a result.
The first thing you should do is insist on the latest reliable digital signage solutions and ensure they are installed consistently across the office. This can be everything from high quality LCD reception and lobby signage to welcome clients and customers, to internal office displays that can be updated reliably over Wi-Fi.
Invite the right people
There’s nothing less productive than a meeting where too many people are trying to shout over each other. When half of those people are not even meant to be there, it’s even worse. Even worse, when people are constantly heading to the wrong meetings they are less likely to show up to the meetings where they are required.
Good implementation of digital signage can eradicate this issue by displaying guest lists around the office of exactly who should be in the meeting room and at what time. The more irrelevant meetings you can remove from your employee’s calendars, the more they’ll thank you for it.
Change content on the fly
The best meetings are agile and dynamic – always changing and adapting to what’s going on in the room and the world outside. Powerpoint presentations are fine but those slides will have been set up weeks in advance.
Modern digital signage, when set up with the right software, will allow you to bring up real-time information as you’re talking and access any piece of content you could need. It’s the meeting room of the future and it’s already here.
Keep the focus on the work
How many times have you been sitting in a meeting and noticed half of the attendees are looking down at their phones when they should be paying attention to the big screen. Use one large digital screen to provide all information necessary. This can even mean including social feeds and feeds from the office to ensure they don’t miss what’s going on outside the meeting room.
You could even implement a policy where phones are left at the door. Though I’m sure there will be at least a little bit of pushback on this one!
